Best practices: the 6 checks before you hit post
Run these every time, on five-star thank-yous and one-star repairs alike.
- Their name. Open with the name they used on the review. If there is no name, skip a fake greeting and go straight to the detail.
- One detail they wrote. Quote a dish, a wait time, a staff member, or a specific moment. Specificity proves you read it.
- The fix, if they complained. Say what changes. “We’ll look into it” is not a fix. “We pulled that batch and retrained the pass” is.
- No excuses or blame. Skip the weather, being short-staffed, telling the guest they should have called, or anything that puts the guest on trial in public.
- Your name at the end. Sign with a real person: owner, GM, or shift lead. Avoid “The Management” when you can.
- Read it out loud once. If it sounds stiff, corporate, or like it could fit any review, rewrite one line.

What is the difference between an owner response and a private reply?
An owner response is public on your Google Business Profile. Private follow-up by phone, email, or a visit is for refunds, medical issues, or details you should not put on the internet.
How long should an owner response be?
Long enough for a name, one detail, the fix when you need it, and your name. Usually three to six short sentences. Longer is fine when the review is complex. Stuffing keywords is not.
