How to Start a Restaurant Loyalty Program in 7 Steps (No App, No POS Integration)
A step-by-step guide to launching a restaurant loyalty program: reward, rules, staff, table signs, and notifications. No app and no POS integration.
Most restaurant loyalty programs don't fail because of the technology. They fail because the reward is dull, the rules are confusing, or the team stops offering the card after the first week.
This guide walks through seven steps to launch a loyalty program people actually use, written for a restaurant, café, or taquería with one location or several.
Step 1: Decide what you want to happen
Before picking a reward, pick a behavior. The most common goals:
- Turn once-a-month guests into twice-a-month guests.
- Fill slow days (Monday through Wednesday).
- Get delivery customers into the dining room, or the other way around.
- Learn who your regulars are so you can talk to them.
One goal per program. If you want everything, guests understand nothing.
Step 2: Pick the mechanic
- Stamps: one visit, one stamp. The easiest to understand, and the best fit when the check is similar visit to visit (coffee, tacos, lunch spots).
- Points per dollar: every dollar earns points. Rewards bigger spenders more. Useful when checks vary a lot.
- Always-on discount: no goal and no final reward, the same discount every visit. Good for corporate accounts or neighbors.
If you're unsure, start with stamps. The full comparison is at westify.app/blog/stamp-card-vs-points-loyalty-program
Step 3: Set the reward and the goal
The rule of thumb: the reward should feel generous, and the goal should look reachable in one or two months for your regulars.
- 6 to 10 stamps is a healthy range for most restaurants.
- Make the reward concrete: "a free house dessert", "an order of tacos", "a coffee". Avoid "10% off" as the final reward: it feels small after ten visits.
- Add a smaller reward halfway if the goal is long (say, a coffee at 4 stamps).
- Give 1 or 2 welcome stamps. A card that has already started feels closer to done.

Step 4: Put anti-abuse rules in place
- A wait time between stamps, so nobody earns three stamps at one meal.
- A minimum spend, if your lowest check is very low (a soda shouldn't count as a visit).
- Card expiry if the guest doesn't come back within a set time, and expiry on earned rewards.
Write the rules in one line a server can explain. If it takes a paragraph, there are too many.
Step 5: Get the team ready
Your servers are your acquisition channel. Without them, the program doesn't exist.
- Each server stamps from their own phone. With Westify, the owner sends the link over WhatsApp and the server signs in with the location's PIN. When someone leaves, you remove their phone from the dashboard.
- Give them a line to offer it: "Do you have our card yet? Scan here and your first stamp is on us."
- Check new cards per shift every week. What gets measured gets offered.
Step 6: Make it visible
- A table sign with the QR code and the promise in big type: "8 stamps: a free house dessert".
- A QR code at the register and on the menu.
- Stickers on delivery bags, and the stamp sent over WhatsApp with each order.
- The card link on your Instagram and your Google profile.
If you have several locations, decide whether each runs its own card or they share one. With a shared card, guests earn stamps at any location.
Step 7: Talk to guests without annoying them
- Welcome: an automatic notification when someone creates a card.
- We miss you: a notification when a guest hasn't been back in 30, 45, or 60 days, with the option to gift a stamp.
- One-off notes: a seasonal dish or special hours. Once or twice a month is plenty.
Notifications land on the card on their phone. You don't need their number to send texts.
What to measure in month one
- New cards per week (is the team offering it?).
- Stamps in the last 30 days (are people coming back?).
- Rewards earned vs redeemed (does anyone care about the reward?).
If almost nobody gets past the first stamp after a month, the problem is usually the reward or the goal, not the card.
What not to do
- Don't reward reviews. Google prohibits incentives for reviews. Ask everyone for a review, with no stamps involved.
- Don't change the reward overnight. A reward someone already earned should keep saying what it promised.
- Don't send weekly notifications. A card in Wallet is a valuable channel; if it turns into noise, guests delete it.
How long does it take to launch?
With a tool built for this, setting up the reward, rules, design, and team PIN takes an afternoon. What takes weeks is getting the team used to offering it at every table.
